How to Connect Your Domain to Microsoft 365 for Business Email

Make Sure You Have Access to Your Domain DNS

Before starting, confirm that you can log in to the domain provider or DNS control panel. This is essential because Microsoft 365 domain connection depends on adding and updating DNS records. Without DNS access, the setup cannot move forward properly.

Add the Domain Inside Microsoft 365

The next step is to add your domain name to the Microsoft 365 admin portal. This tells Microsoft that you want to use that business domain for your company email environment. At this stage, the domain is registered inside Microsoft 365, but not yet active for mail use.

Verify Domain Ownership

Microsoft 365 needs proof that your business actually owns the domain. This is normally done by adding a TXT record in your DNS settings. Once Microsoft detects the record, the domain can be verified and moved forward in the setup process.

Verification is critical because it protects your business identity and prevents unauthorized use of the domain inside another tenant.

Configure the Required DNS Records

Once the domain is verified, Microsoft 365 provides the DNS records needed for email and related services. These usually include records for incoming email, service validation, and Outlook discovery. In many business environments, mail authentication related records also become part of the setup for better sending trust.

This stage needs attention because incorrect DNS configuration is one of the biggest causes of Microsoft 365 email problems.

Create Users and Assign Mailboxes

After the domain is connected, the business can create users with email addresses on that domain. Each user account should be assigned the proper license and mailbox configuration. Shared addresses such as info@, sales@, support@, or accounts@ can also be planned at this stage where needed.

Configure Outlook and Mobile Access

Once mailboxes are active, users need a clean Outlook setup on desktop and mobile devices. If Outlook is not configured properly, users may think the domain connection failed when the real issue is simply an incomplete client setup.

Test Mail Flow Carefully

Before handing the environment to staff, test sending and receiving email both internally and externally. Also test Outlook sign in, mobile sync, and any shared mailbox access. A proper domain setup is not complete until mail flow is working consistently.
