AI meeting notes can reduce manual follow-up, but turning transcription on for everyone creates a new searchable record of conversations that may include prices, employee matters, credentials, customer data or legal advice. The first question is not whether the summary sounds useful. It is which meetings should create a transcript, who can use it and when it should be removed.

This guide uses Microsoft Teams as a concrete platform example, but the governance questions apply to other meeting assistants. Product controls and licensing vary. Treat this as an operational checklist, not legal advice; obtain appropriate UAE legal or privacy advice for your data, participants and purposes.

Map the record that each feature creates

Live captions, a saved transcript, a recording and an AI-generated recap are not the same artefact. Microsoft's Teams transcription guidance says that live captions are not saved, while transcription creates a real-time written record that participants can find after the meeting with timestamps and speaker attribution.

Ask the service owner to document, for each enabled feature:

  • what is captured and whether it is stored;
  • which user or shared location owns the file;
  • who can view, edit, copy, download or share it;
  • which AI features can process it;
  • how long it remains and what deletes it;
  • what audit, eDiscovery or retention requirements apply.

In Teams, recordings and transcripts are stored in OneDrive or SharePoint according to the meeting type and organiser. That makes existing sharing, offboarding and retention design part of the meeting-AI decision—not a separate afterthought.

Create meeting classes before a global switch

Define a small set of business meeting classes. For example, routine internal coordination may permit transcription; a sales discovery call may require organiser confirmation and an approved notice; HR, board, legal or security-incident meetings may prohibit it or require a specifically controlled template.

For each class, decide the business purpose, participant notice, permitted tools, owner, access group, retention rule and whether AI summaries may be generated. Avoid vague labels such as “sensitive” without examples. Staff need to recognise the class before the meeting starts.

Microsoft's recording and transcription control overview identifies admin controls for transcription, automatic recording, explicit recording consent, expiration, Copilot use, download restrictions and storage. Some advanced controls depend on licences such as Teams Premium or Microsoft 365 Copilot; verify entitlements rather than assuming a policy is enforced.

Apply controls to a pilot group

Start with a representative group and a narrow meeting class. In Teams, transcription availability is controlled through meeting policy; the organiser and the person starting transcription must have the feature allowed. Administrators can assign custom policies to users or groups instead of changing the global policy immediately.

  1. Choose pilot organisers and document the allowed meeting class.
  2. Apply the intended policy and meeting options.
  3. Run a non-confidential test with internal participants.
  4. Confirm the in-meeting notice or consent behaviour from organiser and participant views.
  5. Locate the saved transcript and verify its owner, permissions, download behaviour and sharing path.
  6. Check expiration or retention behaviour and the audit evidence available to administrators.
  7. Have a human compare the transcript and summary with the recording or meeting notes before relying on actions.

If your organisation is considering meeting assistants across several departments, ITZ's AI integration service can help map the workflow, permissions and system dependencies. Plan Your Meeting AI Governance Review with the meeting types, platform, expected users and current storage rules.

Do not confuse expiration with compliance retention

Microsoft's sensitive-meeting guidance notes that the ordinary recording and transcript expiration feature is intended to reduce storage, not enforce compliance requirements. It also notes that moving a recording from its original location can stop the normal expiration setting from applying. Where formal retention and deletion requirements exist, use appropriate records controls and professional advice.

Test the actual lifecycle. “Deletes after 60 days” is incomplete unless you know which artefacts it covers, whether users can move or copy them, what happens to derived summaries, and how legal holds or retention policies change deletion.

Plan for inaccurate or incomplete output

Transcripts can misidentify speakers, technical terms, names, languages or numbers. Summaries can omit qualifications or convert discussion into an apparent decision. Assign an owner to verify material actions, deadlines and commercial figures against the original conversation or approved minutes.

Do not use an AI recap as the sole source for disciplinary decisions, contractual commitments, safety instructions or payment changes. For supplier bank-detail requests, follow a separate independent verification process rather than treating meeting notes as authorisation.

Review access when people and projects change

A transcript may outlive the meeting invitation. Review access when a project ends, an external participant no longer needs access or an organiser leaves. The Microsoft 365 offboarding checklist helps address ownership and access continuity, but each transcript repository still needs an accountable business owner.

Record exceptions and near misses. If confidential information was transcribed in a prohibited meeting, follow the organisation's incident and privacy process rather than merely deleting the visible file and assuming every copy or derivative disappeared.

Plan your meeting AI governance review

Tell ITZ which meeting platform and AI features you are considering, the departments and meeting classes involved, current OneDrive or SharePoint ownership, and any retention or external-participant constraints. We can discuss a scoped pilot covering policy, permissions, storage, validation and user guidance.
