Lead capture and normalisation
Map supported forms and enquiry channels to consistent CRM fields with source context and required information.
ITZ / AI & AUTOMATION / DUBAI & UAE
Give every enquiry a clear next step.
Connect enquiry sources with your existing CRM and sales process. Define assignment, duplicate handling and follow-up responsibilities before adding more notifications.
THE BUSINESS PROBLEM
Capturing more leads does not help when enquiries are duplicated, assigned late or left without an owner. The first task is to agree what constitutes a lead, how it should be matched and who is responsible for the next action.
EXPLAINED VISUALLY
TRY THE PROCESS
INTERACTIVE EXAMPLE · PRESET SAMPLE DATA
An office networking enquiry arrives through a website form. The workflow checks for an existing contact, preserves the source and request, assigns the responsible sales queue and creates a follow-up task. If no rule matches, the enquiry goes to a monitored exception queue.
Source retained → contact checked → networking sales queue assigned → follow-up task created.
Possible contact match → hold overwrite → send to owner for review.
No agreed assignment rule matches → monitored exception queue → owner notified.
WHAT WE CAN IMPLEMENT
Map supported forms and enquiry channels to consistent CRM fields with source context and required information.
Apply agreed matching rules. Ambiguous matches enter review rather than silently overwriting an existing customer.
Route by agreed territory, service or team rules, with absence handling and overdue-task escalation.
Track accepted assignments, missing fields and approved stage transitions. Connect delivery teams only after the appropriate sales decision.
EVIDENCE BEFORE EXPANSION
Measure arrival to recorded ownership, using consistent timestamps.
Count records lacking an accountable owner.
Track ambiguous matches and confirmed duplicates separately.
Measure recorded actions; a completed task is not proof of a sale.
Agree the baseline, sample, start and end events before comparing results. Report failed cases and manual corrections alongside completed runs. These are proposed measures, not ITZ client performance claims.
CHOOSE THE RIGHT APPROACH
Use this service to automate an agreed sales process inside or between existing tools. A new CRM implementation, complex data migration or a redesigned sales operating model is a broader project linked to our ERP and CRM services.
DESIGN FOR EXCEPTIONS
IMPLEMENTATION APPROACH
Review representative inputs, users, systems and decisions. Identify work that should remain manual and dependencies that prevent a reliable pilot.
Agree scope, permissions, acceptance examples, operating costs and responsibilities. Use redacted or appropriate test information.
Check routine, missing-data, declined-action and failure scenarios. Compare the implemented behaviour with the written scope.
Agree activation, rollback and monitoring. Provide the documented administration path and a named owner for operational exceptions.
WHAT YOU RECEIVE
The proposal specifies what will be configured, developed, documented and tested. Access to bespoke work, third-party platform ownership and administration rights are agreed before implementation.
Handover records the operating owner, support route and actions that remain manual. An attractive demonstration is not acceptance evidence for your business process.
DATA & RESPONSIBILITIES
Identify the business owner, information owner and administrator. Agree the accounts, permitted operations and information that may be sent to each provider. Test access with representative user roles rather than relying only on administrator results.
Data location, retention and deletion depend on the selected services and configuration. Confirm those requirements before choosing the architecture; a platform logo is not evidence of residency or compliance.
COMMERCIAL SCOPE
A pilot quote should state included volumes, assumptions and what happens if usage increases. No fixed saving, implementation duration or universal accuracy level is promised.
FIT & LIMITATIONS
Platform access, technical feasibility and delivery availability are confirmed during scoping. Broader migrations, data cleansing, custom applications and unsupported integrations are separately assessed.
AFTER ACTIVATION
Agree the alert destination and owner. Logging an error without anyone reviewing it is not an operating plan.
Changes to source fields, credentials, prompts, documents or APIs can affect outcomes. Review and test material changes before release.
Explain routine use, manual overrides and escalation. Document the tasks that remain the customer’s responsibility.
FREQUENTLY ASKED QUESTIONS
We assess supported APIs, built-in automation, licences and administrative access first. Platform names alone do not establish that the required actions are available.
No. This service focuses on automating an agreed lead process. New CRM selection, implementation, migration and broader customisation are scoped through ERP and CRM Solutions.
Where the approved channel and business rules permit it, yes. Message timing, consent requirements, stop conditions and escalation need to be defined before activation.

We agree feasibility, scope and timing after reviewing your requirements. Implementation and ongoing support are quoted separately where applicable.
