Your portal emails a customer a private document link that is supposed to work until tomorrow. It stops working earlier. Increasing the expiry value in the application may not solve the problem: the credentials used to sign the link can expire first.
For a business delivering quotations, reports or order documents, this is both a support issue and an access-design question. Keep the file private while investigating. Do not turn a storage bucket public to rescue one failed download.

There is more than one deadline
According to the Amazon S3 presigned URL documentation, a presigned URL is a bearer token: someone possessing it can use the permitted operation within its effective validity. Temporary credentials impose their own lifetime, even when the requested URL expiry is later. Revoking or deactivating the signing credentials can also invalidate access, and policy conditions can further restrict it.
A practical support record should therefore distinguish the requested link expiry, the signing session’s expiry and any applicable policy restriction. Treat the earliest relevant limit as a diagnostic lead. Do not assume every failed download is an expiry event; permissions, object availability and request details still need investigation.
Collect evidence without collecting the secret
Ask support staff to capture the failure time, a safe document reference, the customer’s intended action and the returned error. Record times consistently, with a timezone, particularly when UAE business hours overlap with a development team elsewhere. Never ask the customer to paste a working signed URL into a widely visible ticket.
Give the engineer a restricted route for any sensitive request details that are genuinely needed. Prefer a request or correlation identifier that can be matched to application logs. Review logging and error reporting so the link’s query string does not end up in chat histories, screenshots or broad monitoring exports.
ITZ’s software consulting service can help review the application and support boundary. Request a secure download workflow review with a redacted failure example and a description of how the portal issues links; do not submit credentials or signed links through the enquiry form.
Trace how the application generated the link
- Identify the issuing component. Find the application job or request that created the URL, rather than changing settings in an unrelated email template.
- Identify its signing identity. Ask the engineer whether it uses a role session or another credential source and whether that session was close to expiry at issue time.
- Compare the intended deadline. Check what the business promised against what the implementation can actually provide.
- Inspect restrictions and changes. Review relevant access policy, credential revocation and deployment changes around the incident.
- Reproduce safely. Use a non-sensitive test object and an authorised test account, then record issue, failure and renewal times.
Use the existing credential expiry and rotation checklist when investigating identity changes. Separately confirm that the object still exists; storage cleanup and retention rules can affect availability independently of link validity.
Renew access through the application
A useful design proposal is to email a stable portal page rather than treating a long-lived signed download URL as the customer’s permanent entry point. On that page, authenticate the user, check their current entitlement to the specific document and issue a short-lived download link when requested. A renewal request should repeat the entitlement check; possession of an old expired URL is not sufficient proof of access.
Agree the customer experience as well as the implementation: explain that the download session has expired, provide a clear authorised renewal route and offer a document reference for support. Avoid an automatic retry loop that keeps returning another unusable link. Apply the broader private business file access review to the surrounding permissions.
Test the interruption case
AWS checks expiry when a request starts. A download already in progress can continue beyond expiry, while a new request after expiry can fail. Include interrupted and restarted downloads in acceptance testing instead of judging reliability from one uninterrupted transfer.
The right delivery pattern depends on document sensitivity, customer identity and how long access is required. A portal adds authentication and support responsibilities of its own. Do not replace temporary credentials with long-lived access keys merely to make an emailed link last longer; review the architecture and access requirement together.
